Key takeaways
- Sort each task by how predictable it is and what a wrong answer would cost.
- Meta resumed charging for service replies on October 1, 2026, after a free tier of 1,000 a month per number, so a chatty bot now costs more.
- Meta requires a clear escalation path whenever you automate replies.
- New accounts can reach only 250 unique numbers a day outside a service window, so plan campaigns around your limit.
- Indian businesses should check opt-in records, data protection duties, and Meta’s December 31, 2026 rupee billing deadline.
What should you automate on WhatsApp, and what should you leave to people?
Most guides, such as Plivo’s and QuickReply’s, explain what you can automate. The harder question is what you should. Two questions settle most cases:- How predictable is the request? Can you write down the right answer before it arrives?
- What does a wrong answer cost? Think about money, trust, safety, and legal exposure.
How does WhatsApp automation work?
Every automated message starts with one of three triggers:- A customer writes in. A greeting, a menu, or a bot replies.
- Something happens in your business. An order ships, and your system sends an update.
- A date arrives. A scheduled campaign or an appointment reminder goes out.
What does WhatsApp automation cost now?
Older guides may tell you that customer replies are free. That changed recently. Under Meta’s pricing, effective October 1, 2026, delivered messages are charged by category and by the recipient’s country, and customer service replies are charged again after a monthly free tier.- Write one complete message, not four short ones. Each delivered message is a separate charge once the free tier runs out.
- Check your payment method. Without one, Meta stops delivering service messages once the free tier is used.
- Use ads with care. If a customer on Android or iOS arrives through a click-to-WhatsApp ad, your reply opens a free window of up to 7 days. Reply within the 24-hour service window to get it.
- Review rates each quarter. Meta says it may change prices only on the first day of a quarter.
A worked example
Here is how to estimate your monthly message count. These numbers are illustrative, for one store on one WhatsApp number.
If the bot splits each reply into two messages, service messages rise to 7,200, and the charged count rises from 2,600 to 6,200. Multiply each row by its rate on Meta’s card to get your budget.
Which messages count as marketing, utility, or authentication?
You can’t choose freely. Meta’s category rules look at the content, and the category sets your rate.
Meta makes the final call, so treat this table as a guide. Generic welcome messages are marketing too, and a category mismatch can get a template rejected within seconds.
How do you hand off from a bot to a person?
WhatsApp’s business policy lets you automate replies in the 24-hour window, but you must also offer a prompt, clear, and direct escalation path. It accepts an in-chat agent transfer, a phone number, email, web support, an in-store visit, or a support form. An email address in the footer may satisfy the wording, but it won’t calm an upset customer. Design the handoff as carefully as the bot.- Pass the context. Customers shouldn’t have to repeat themselves.
- Be honest about hours. Outside staffed hours, say when a person will reply, and don’t let the bot guess instead.
- Say it’s a bot. Set that expectation at the start, so nobody thinks a person is ignoring them.
Why do automated WhatsApp messages stop sending?
Automation can fail quietly, so plan for these four limits. Your daily limit. Meta’s messaging limits cap how many unique numbers you can reach outside a service window in a moving 24 hours. The limit covers your whole business portfolio, so one number can use it all.131049, wait at least 24 hours before trying again, and make sure your automation doesn’t retry sooner.
Opt-outs. The policy requires you to honour every request to stop, whether it comes on or off WhatsApp. Blocks and reports can also lead to rate limits when quality stays low.
What should Indian businesses check before automating?
This section is a starting point, not legal advice.- Consent records. Meta requires opt-in that names your business and states that the person is agreeing to hear from you. Keep a record of when and where each person agreed.
- Data protection. India’s Digital Personal Data Protection Rules were notified on 14 November 2025 with an 18-month phased rollout, which by our arithmetic runs to about May 2027. Reports in early 2026 described a proposal to shorten that window for some large companies. One compliance tracker listed it as not notified as of October 2026, so confirm the current dates with your adviser. PIB’s summary describes a clear, separate consent notice and a right to withdraw consent. Build both into your flows now.
- Identity and card numbers. WhatsApp’s policy bars sharing or asking for full-length card numbers, financial account numbers, or personal ID card numbers. We read that as covering Aadhaar and PAN, so don’t build a bot that collects them in chat.
- Lending and collections. The same policy lists payday loans, peer-to-peer lending, and debt collection among the services it doesn’t let businesses promote or facilitate, whatever licence you hold. Check it before you automate repayment messages.
- Health. The policy also restricts health information where local rules demand stronger handling. Clinics can automate reminders more safely than symptom questions.
- Rupee billing. Meta says eligible accounts with India as their Sold-To country must move to INR by December 31, 2026. From January 1, 2027, it won’t deliver messages for eligible accounts still billed in another currency. Ask your provider if you aren’t sure who holds billing.
- Language. Write templates in each language you serve. If your bot can’t follow a Hindi, Tamil, or Hinglish question, it should hand off, not guess.
- SMS or voice fallback. If a flow falls back to SMS or a call, check that step separately. TRAI’s commercial communication rules can bar or disconnect repeat offenders’ telecom resources, and it amended them again in September 2026. That amendment requires you to declare automated calls to your telecom provider in advance. Start with DLT registration and UCC and NDNC compliance.
How do you set up WhatsApp automation?
- Pick one flow. Choose a request from the bottom-right of the map, such as delivery updates. Don’t start with a bot that does everything.
- Choose your route. Use the decision map above, and complete the prerequisites if you’re moving to the platform.
- Collect opt-in. Add clear wording to your checkout, website form, or store process.
- Write and submit templates. Keep utility and marketing content apart so that the category stays clear.
- Set handoff rules. Decide who receives each type of chat, and during what hours.
- Test on your own numbers. Campaigns send real messages and cost real money, so use your own credentials and confirm the audience before every send.
- Measure for two weeks. Track failed deliveries, template quality, opt-outs, the share of chats handed to people, and how long customers wait for one.
How Vobiz handles WhatsApp automation
Vobiz WhatsApp runs on the WhatsApp Business API and supports each route after the Business app:- Getting connected. You can bring your own number, buy a new one from Vobiz, or use Embedded Signup.
- Notices and campaigns. You create templates in the console, then send campaigns to contacts by tag, immediately or on a schedule. Contacts can be imported by CSV with tags, and each contact can also hold custom attributes.
- Handoff to people. The shared inbox lets you assign a conversation to a team member, add notes, see the full history, and watch a timer for the 24-hour window. Canned responses put saved answers one shortcut away.
- Your own bot. Vobiz sends webhooks (callbacks) to your system when a message arrives or a delivery status changes. Your bot then replies through the send-message API.
- No-code workflows. The Vobiz node for n8n can start a workflow when a WhatsApp message arrives and can send WhatsApp messages.
- Checking results. A campaign marked Completed has finished its list, which isn’t the same as success. The console walkthrough shows where to read sent and failed counts and the reason for each failure.
